Import

Select People from the left menu, then click on the Import button on the bottom of the screen.

Batch Import Page

This window is where you will select the pictures and the associated XLSX file for the school. You will also be selecting how this info will be imported, as well as the option to give this import a Shoot Title by typing one in, or by selecting from a Previous Shoot Title.

Select Photos

Click on the Choose Files button under “Select photos below:”.

Select all photos associated with this school’s shoot.

Select XLSX File

Click on the Choose Files button under “Select XLSX file to read:”.

Select the XLSX file associated with this school’s shoot.

Notes:

  • Make sure you have cleaned the date in the excel before importing. It is much easier to clean it now than after you import.
  • Remember that subjects without a school/student ID will be created as new/unique people. If you’re trying to match subjects to a previous import, then you’ll need school IDs.

Import Options

You have three options when doing a Batch Import.

1) Override Data Only: This option will update all information for the person(s) selected, but not their default image.

2) Override All: This option will update ALL information as well as create or replace the default image(s).

3) Portraits: This option is for adding a new Portrait to the database. The portraits can be viewed and purchased using the AcadeMap™ app when connected to the portrait using the shoot key. An example of this import option would be for uploading Spring portraits to the system for viewing and purchasing through the app, but not replacing the fall images in the People section of the Suite.

A Note about portraits – If your goal is to add portraits that match students parents have already connected to in the AcadeMap Parent App, then you’ll need to include School/Student IDs in your import. Otherwise, your parents will need a new photo key for this portrait album.

After selecting the Portraits option, you can then either enter a Shoot Title for this import (i.e. Spring 2018), or you can select a Title from a Previous Shoot Title.

After selecting an Import Option, click on the IMPORT button to begin the import.

Finish Import

While the files are bing uploaded you will see a progress bar at the bottom of the screen along with information on the number of images being uploaded (i.e. Uploaded 21 of 512 images.)

There are also two buttons below the progress bar that allow you to Pause All or Cancel All of the files being uploaded.

After all of the images along with the matching XLSX file are done uploading, you will get a message stating Batch import has finished.

Click on the OK button and you will be re-directed back to the People directory, where you will now see all of the images that were uploaded through the Batch Import.

Viewing Images in the People Section

After you have finished the Batch Import, you will now be able to view all of the images in the People section of AcadeMap.
